Job Description
Executive Assistant | Job Description |
This Executive Assistant will provide seamless administrative support to the CEO, which consists of refilling office kitchen supplies, sending documents and packages, and taking care of personal errands for the CEO.
- Arrange and handle all logistics for Board meetings and events
- Serve as the primary point of contact for internal and external parties on all matters pertaining to the CEO, including those of a highly confidential or critical nature.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.
- Provide event management support as requested.
- Provide hospitality to all guests and help to create a welcoming environment.
- Process and distribute daily mail.
- Work with the Executive Team to coordinate the CEO’s outreach activities.
- Answer telephones and respond to inquiries via phone or email
- Perform administrative tasks, including filing and photocopying
- Write emails, memos, and letters
- Implement and/or develop office procedures and record systems
- Organize office and assist associates in ways that optimize procedures
- Resolve office-related malfunctions and respond to requests or issues
- Maintain contact lists
- Keep waiting rooms and meeting rooms tidy
- Manage building cleaning, maintenance and landscaping services
- Work with media room director and video editor if necessary
- Coordinate the event with video contents preparation

Requirements |
- 1 year experience as an executive assistant
- Proficiency in Microsoft office, particularly PowerPoint
- Written and oral communication skills
- Analytical and risk assessment abilities
- Project management and deadline fulfillment skills
- Strong technical and troubleshooting skills
- Excellent organization and documentation skills with attention to detail
- Ability to prioritize and manage multiple projects simultaneously
- Preferred: Understand relevant principles of electronics, acoustics and sound reinforcement, along with fundamentals of video equipment, lighting equipment, & production
- Preferred: Basic understanding in Pro Presenter, ProTools, Cubase, Adobe Premiere Pro CC, Final Cut Pro, Film editing software, ect.

Financial Administrative Assistant | Job Description |
